IT tools for a small business: how to choose without chaos

A good tool should solve a specific problem, fit the way the team works and enable secure data export. We show you how to compare an office suite, instant messenger, task system and automation.

A small business doesn't need the most applications. I need a set as simple as possible, in which each tool has a specific task, owner and access rules. Adding more platforms without tidying up the process tends to spread chaos from your email to several new places.

Start with the problem, not the product name

Before comparing vendors, write down what problem you want to solve. Examples of well-formulated needs include:

  • one current version of the document instead of attachments circulating in the mail;
  • visible owner and due date of each task;
  • track record available to authorized team;
  • limitation of manual data rewriting between systems;
  • ability to revoke access in one, controlled process.

The statement "we need a modern system" does not allow us to judge the result. The need should be measurable and related to a specific process.

Mail, documents and calendar suite

Google Workspace and Microsoft 365 combine email, calendar, file storage, document collaboration, and administrative tools. The choice should depend on, among other things, the file formats used, requirements for computer applications, method of collaboration and administrator competences.

Before migrating, please check:

  • required features and their availability in a specific plan;
  • capacity, retention rules and how to make copies;
  • account, device and multi-factor authentication management;
  • compatibility with macros, add-ons and document workflow;
  • cost of migration, training and subsequent maintenance.

Price lists and packages change, so you should not base your decision on the amounts from an older list. You need to compare the manufacturers' current terms and the full cost for the planned number of users.

Team communication

Microsoft Teams, Slack, Google Chat and similar tools organise conversations in channels and facilitate meetings and sharing materials. However, they should not create another place where decisions get lost.

Before implementation, determine:

  • what issues go to the channel and what to the task system;
  • where the final decision is recorded;
  • who can create teams and invite guests;
  • how long messages are stored;
  • what does the withdrawal of access look like after the end of cooperation?

Messenger can shorten the path to a reply, but without rules it increases the number of notifications and makes it harder to focus.

Task and project management

Trello, ClickUp, Asana, Jira and other platforms vary in complexity, way of presenting work and scope of integration. The most extensive tool is not necessarily the best for a small team.

A minimum useful process should answer four questions:

  1. What is to be done?
  2. Who is responsible for the next step?
  3. What is the deadline and current status?
  4. Where is the material needed for implementation?

It is worth starting the pilot with one project and a small number of statuses. Extended fields, automations and dashboards should only be added when they solve a recognised problem.

Knowledge base and documentation

Notion, Confluence, SharePoint and similar systems can act as a company knowledge base. However, its quality is determined by the maintenance process, not the editor.

Each important material should have an owner, last review date, specific recipients, and a clear status. Drafts must be distinguished from approved procedures. Confidential information should only go to spaces with appropriate permissions.

AI features can facilitate search and summarization, but they cannot reliably resolve which of two conflicting documents is current.

Automation and integrations

Platforms such as n8n, Make, Zapier and Power Automate can transfer data and trigger subsequent process steps. Automation makes sense when the task is repeatable, has clear rules, occurs frequently enough and its result can be checked.

Before starting the flow, you must specify:

  • the system that is the source of each data;
  • authentication method and scope of integration permissions;
  • behaviour on duplicate, error or missing data;
  • retry policy;
  • alerts, logs and person responsible for the response;
  • way to stop and manually handle the process.

Selection criteria

Tools should be compared according to the same criteria:

  • functional fit - whether it solves the defined problem;
  • safety - how it manages access, data, logs and integrations;
  • data portability - what can be exported and in what format;
  • process reliability - what happens during a failure or lack of internet;
  • ease of administration - who will maintain accounts, configuration and updates;
  • full cost - licences, implementation, migration, training, integration and maintenance;
  • contract terms - place of data processing, subcontractors, retention and termination of the service.

The reputation of the supplier is not a substitute for checking the specific plan and configuration. Even a mature platform can be deployed with excessive privileges or without a data recovery plan.

How to conduct a pilot

  1. Select one process and a small group of users.
  2. Record the initial state: time, number of errors and most common difficulties.
  3. Configure the minimum scope of functions and access.
  4. Train participants and indicate where to report problems.
  5. Test for a period covering typical and abnormal cases.
  6. Compare the result to the baseline, taking into account administration time.
  7. Decide on extension, correction or cancellation.

The free plan may suffice for testing, but doesn't always have the administrative features, retention, and support needed in production.

How to avoid application sprawl

At least once a year, it is worth reviewing all services, their owners, active users, integrations and costs. Unused accounts should be closed once the necessary data is secured. Two platforms performing the same task should have a clear justification.

The new application should enter the company only after appointing the person responsible for configuration, permissions, documentation and possible withdrawal of the service.

Summary

A good IT toolset is consistent, maintainable and aligned with company processes. It is worth basing the choice on piloting and measuring the effect, and not on the number of functions or declared time savings.
