When ad hoc IT is no longer enough

There is no set number of seats after which you need to change the model. There are several signals that usually appear together.

If you recognise two or three of these signs, a free IT review will show you where to start.

  • Failures are repaired when someone has time and the company is at a standstill at that time.
  • No one can answer the question whether backups can be restored.
  • Administrative passwords, licences and configurations are in one person's head or in their private notebook.
  • Several IT suppliers shift responsibility, and you are the intermediary.
  • A new employee waits for equipment and accounts for several days because there is no procedure.
  • It is not known how much the company spends on IT and what exactly it pays for.

What we do as part of this service.

    Helpdesk with no ticket limits

    Day-to-day user support: problems with the system, applications, email, printers, accounts and passwords. Every workstation has an agent through which an employee reports a problem with one click, straight from the desktop. The ticket goes into the system immediately with the device context, and the employee tracks its status in a portal. Instead of looking up a number or writing an email, the case is logged from the start and nothing gets lost. Phone and email remain available. No limit on the number of tickets, within reasonable use.

    Device monitoring

    The agent at each workstation reports availability, disk status, backup status and critical alerts. In the BUSINESS IT package and above, monitoring is proactive, i.e. we respond to a signal, not to a phone call from an employee.

    System and application updates

    Regular, planned, not "on the occasion of another visit". Security-critical updates are delivered as a priority, others in a window that does not interrupt work.

    Supervision of backups

    From monthly verification in the START IT package, through automatic control, to quarterly recovery test in PROFESSIONAL IT. The reconstitution test is logged.

    Cloud account administration

    Microsoft 365 or Google Workspace: creating and blocking accounts, permissions, password resets, email and file security policies, two-factor authentication.

    Server and network administration

    From the BUSINESS IT package, one server and basic network. From PROFESSIONAL IT multi-server environment, virtualisation, network segmentation and access control.

    Environment documentation

    Inventory of devices, administrative accounts, licences, supplier contracts and system dependencies. Maintained on an ongoing basis, not done once during implementation.

    Monthly report

    Reports, alerts, completed work, backup status, usage of hours from the package and recommendations for the next month. Sent without reminder.

What stays with you in writing.

Materials that stay with you even if you change the supplier.

  • Startup documentation

    List of devices with serial numbers, administrative accounts, licences with renewal dates, service providers and a map of dependencies between systems.

  • Maintenance Catalogue and SLA

    Ticket channels, priority definitions, support windows, response times, escalation rules and a list of work billed outside the subscription.

  • Monthly report

    History of requests and work in a form that allows you to assess whether the service is working and plan your budget for the next year.

  • Access transfer protocol

    Document confirming what access we took over and when. The same mechanism works the other way when the cooperation ends.

Who is responsible for what.

This division is written in the contract and not determined during a failure. The scope can be expanded, but then the price also changes. We talk about it before signing, not after the fact.

On the NexaIT side

  • receiving, classifying and handling tickets through to closure
  • monitoring of covered devices and handling of agreed alerts
  • system and application updates within the scope covered
  • supervision of backup copies and their periodic verification
  • administration of accounts, permissions and security policies
  • environmental documentation maintenance and monthly report
  • coordination of other suppliers within the limits specified in the contract

On your side

  • designation of the decision-maker in IT matters and the operational contact person
  • Report problems through a set channel rather than by private message to a technician
  • consent to install monitoring on the covered devices
  • budget decisions: purchase of equipment, licences and consent to work outside the subscription
  • informing about personnel changes that require setting up and blocking accounts
  • maintaining contracts with Internet connection and service providers that we do not take over
  • physical security of the rooms where the equipment is located

What this service doesn't include.

Clear scope boundaries are part of a good contract. We talk about them before you sign, not when the first invoice arrives.

We can do or coordinate any of these things. We price them separately so that the basic price remains comparable with other offers and you know what exactly you are paying for.

  • software and hardware licences, which we invoice separately as a pass-through cost with a commercial margin
  • workstation protection, which we bill for each device from PLN 19 net per month
  • implementation projects: migration, network construction, ERP system implementation
  • works outside the support window of your package, which we settle according to rates with additional payment
  • on-site visits in START IT and BUSINESS IT packages, where travel is a separate item
  • data recovery from damaged media, which is a laboratory service
  • support for industry-specific software whose manufacturer does not provide us with a reporting channel

When it's a good fit, and when it isn't

It makes sense if

  • The company has from 5 to 100 positions and IT is no longer something that can be done on occasion.
  • Work depends on systems whose downtime costs more than the subscription.
  • Someone in the company wants to have one phone number for all IT matters.
  • You need documentation and predictability, not just fixing it when it breaks.

We don't recommend it if

  • Are you looking for the lowest price per hour. Then local service billed hourly will be better.
  • The company has two computers and e-mail on a free account. The subscription would be an unpaid expense.
  • You need an engineer on site every day. This is a full-time model, not a subscription model.
  • The environment is based on software that no one except the author has access to and cannot be changed.

What affects the price

Starting price is for a typical environment. These elements elevate it and we talk about it right away.

  1. number of workstations and number of servers and network devices to be taken care of
  2. the support window you need and the required response time for critical tickets
  3. number of locations and whether they require on-site visits
  4. state of the environment at the input: lack of documentation and equipment after manufacturer's support means more work in the first months
  5. number of industry systems that need to be maintained alongside the standard stack
  6. backup scope and whether a disaster recovery plan is needed
  7. number of required integrations with external providers

Questions before you decide.

What happens when we use up the hours from the package?

We notify you when your usage reaches 80 percent of your limit, so the overage is never a surprise on your invoice. Above the limit, we bill PLN 220 net per hour of user support and PLN 280 for specialized work. Unused hours do not roll over to the next month. This is the market standard and we talk about it before signing the contract.

Do you handle requests on the weekend?

Depends on the package. START IT and BUSINESS IT operate on working days, and work outside the support window is billed separately with an additional fee of 50 percent in the evening and on Saturday and 100 percent at night, on Sunday and on holidays. PROFESSIONAL IT has weekend duty for critical calls at no extra charge, and ENTERPRISE IT has a 24/7 window for these calls.

Do we need to change hardware or software to start?

No. We start with what is there, and only after taking stock do we say what really needs to be replaced and what can still be maintained. The recommendations are included in the report with priorities and cost estimates, and the purchase decision is yours.

What if we have our own IT specialist?

This is a common and good arrangement. Then we take over the layers that are difficult to maintain for one person: monitoring, backups, servers, network and replacement during holidays, and your IT specialist stays with matters closer to business. We divide the scope in writing so that there is no gray zone.
