The cost of an enova365 implementation: what it consists of and what the first quote doesn't show

The cost of implementing enova365 consists of the vendor licence, the implementation work and post-launch support. We show what each part covers, what raises the price above the starting amount and what we quote separately, with figures from our price list.

The question "how much does an enova365 implementation cost" usually gets a short answer in a single figure. But that figure says little until you know what is in it. Two quotes with the same total can cover a completely different scope: one with data migration and training, the other without. That is why we break the cost down into items worth comparing separately.

The vendor licence

The licence is issued by the system's vendor, Soneta, and is usually bought through a partner, for example through us. It is a separate item next to the implementation work. The vendor states that enova365 can be bought outright or used on subscription, paid monthly or annually. You can also change the model later, for example move from a subscription to a purchase.

The choice of model affects how the cost is spread over time, not the scope of the implementation itself. We give the licence price for specific modules and number of users in the quote, from the vendor's current price list. We don't copy figures from other people's comparisons, because the vendor's price list changes.

The vendor also states that enova365 customers pay no additional fees for sending and receiving invoices via KSeF. The KSeF integration is therefore not a separate licence, but its configuration and permissions are part of the implementation work.

Implementation work: what the price covers

In our price list, implementing a single module, for example only HR and Payroll or only Accounting, in a business with up to about 10 workstations starts from PLN 7,500 net. A standard implementation for 10-20 workstations with one or two modules starts from PLN 12,000 net. This amount covers the whole process: analysis, configuration, data migration, testing, training and 30 days of support after go-live. We configure the integrations with KSeF, social insurance and banking as part of the implementation. We quote a multi-module environment only after the analysis.

The starting amount grows with the scope. Below we describe what determines the final price in each part of the work.

Pre-implementation analysis

The analysis consists of workshops with the people who work in a given process and a written description of how the system should work in your business: documents, approval paths, permissions, data to transfer and integrations. Without it, quoting an implementation is guesswork.

The analysis can also be bought on its own, before the implementation decision is made. It then costs from PLN 4,500 to PLN 11,000 net, depending on the size of the project, and usually takes 2 to 5 days. If you order the implementation within 6 months, we credit it in full towards it. The result is a report with the scope, a schedule and a list of decisions that need to be made before configuration.

Configuration and set-up

This is the main part of the work: setting up modules, document definitions, numbering, accounts, permissions, printouts and reports. The cost depends on the number of modules and on how far your processes depart from the system's standard handling.

Data migration

Transferring customer and supplier, product, employee and balance records from the previous program is often the most underestimated part of the work. The cost depends less on the number of records than on their quality. A tidy database from one source moves quickly. Duplicates, missing identifiers and data scattered across several spreadsheets need cleaning, which takes many times longer than the import itself.

A good quote says who cleans the data, who approves its correctness after import and how many migration attempts the price covers. We record the result in a migration report.

Training

Training takes less time than configuration, but skipping it costs the most, because without it even a correctly configured system tends to be bypassed and staff go back to spreadsheets. The scope depends on the number of groups to be trained and on whether self-study materials are needed for new staff.

What we quote separately

Non-standard integrations. We quote connections to an online shop, a sales system or a shipping platform separately. Some of these connections work through ready-made mechanisms, others need a connector or custom code. We prepare the quote after checking what the other side offers, and we describe who maintains the connection after a version change in either application.

Support after the support period. After the 30 days of support, post-implementation support costs from PLN 500 net per month. On top of that come the vendor's costs related to the chosen licence model, which are worth asking about before the decision.

Infrastructure. If the system is to run on premises, you also need a server, backups and a test of restoring them. That is not part of the ERP implementation but of the infrastructure. We can cover it with ongoing IT support, but the support subscription does not include the enova365 implementation itself.

What the first quote usually doesn't show

When comparing quotes, check whether they include:

  • process analysis, or only "installation and configuration";
  • data migration with the number of attempts and approval of the result;
  • integrations named individually, stating which are included in the price and which are quoted separately;
  • training with the number of groups and hours;
  • support after go-live with a defined duration;
  • preparation of the environment: server, backups or cloud configuration;
  • KSeF configuration with permissions and certificates, which we describe in the post on KSeF in a business.

Where to start

First decide what problem the system is to solve and which processes it will cover, which we describe in the post on when to implement ERP in a business. Then it is worth ordering an analysis, because only that lets you compare quotes on the same assumptions. We describe the timing of each stage in the post on the enova365 implementation schedule. The scope of our implementation and the price list are on the page enova365 implementation. We are an Authorized enova365 Partner.
