Gemini for business in Google Workspace: prices, features and Polish language support

Companies that bought Google Workspace a few years ago often do not know they already have Gemini in their subscription. Google includes the AI assistant in Business plans, so in practice two questions need settling: which plan gives the team the features it needs, and which of them work in Polish. Below we set out the prices from Google's website, the scope of Gemini in each application and the rules we follow when enabling it in companies.

Google Workspace prices in Poland in 2026

Google publishes prices in PLNoty, per user per month, excluding tax. The amounts in the table are for a subscription with an annual commitment, paid monthly. According to the pricing page, this option is 16% cheaper than the flexible plan, which can be cancelled at any time.

The Starter, Standard and Plus plans can be bought for up to 300 users. Enterprise plans have no lower or upper limit. Google periodically gives new customers a discount for the first months, but it only covers the first 20 users added, so for budgeting we always assume the standard price. You pay Google for the licences, and the configuration, mail migration and tidying up of permissions are done as part of our service Google Workspace deployment.

Which plan to choose if Gemini matters to you

For most office teams we recommend Business Standard. Starter limits Gemini to Gmail and the separate Gemini app, while in practice the assistant saves the most work in Docs, Sheets and Drive, which is where the company's materials are. Standard also gives 2 TB of storage per user, meeting recording and the Google Workspace Migrate tool for moving data.

Starter makes sense for companies that use Workspace mainly for email and calendar and keep their documents in an industry-specific system. We choose Business Plus when the company needs data archiving and search in Vault, for example for disputes or inspections, or when it has more devices to manage. We talk about Enterprise when requirements for the data storage region or data leak prevention come into play (DLP, i.e. rules that block certain data from being sent outside the company).

What Gemini does in Gmail, Docs and Sheets

Gemini works in a side panel that opens next to a message, document or spreadsheet. In Gmail it is most often used to summarise a long thread, draft a reply and find what was agreed a few weeks ago. In Docs it helps write the first version of a procedure, proposal or memo and rework text to be shorter or more formal.

In Sheets, Gemini suggests formulas, tidies up data and creates summary tables. It works best for reports with a fixed structure, such as a monthly sales report with a few columns. In Drive it can summarise a file in the preview without opening it and search for information in documents the user has access to.

Every result has to be checked before it is sent. The model can write a convincing sentence with a date or amount that does not appear in the correspondence. So we set a simple rule: anything that goes to a client, a business partner or a public authority is read by a person.

Which Gemini uses we start with in a small business

The quickest results come from text tasks that an employee does several times a week and that are easy to check. In a sales office, these are replies to recurring requests for quotes, prepared on the basis of the price list and terms of cooperation saved in a Doc. In an accounting firm, they are draft messages to clients about missing documents and summaries of changes to procedures. In a service company, they are visit reports that a technician dictates as bullet points and Gemini turns into a readable description.

It works less well for tasks where every figure counts, such as settlements, and for those where the answer requires knowledge from outside the company's documents. There Gemini can prepare the structure, but the content has to be filled in by a person.

Gemini in Polish in Workspace

Google keeps a separate list of supported languages for each feature. As of 1 October 2026, the following work in Polish:

• Gemini in the side panel of Gmail, Docs, Sheets, Slides and Drive;
• the Gemini app and Gemini Notebook;
• AI functions in Sheets;
• Gemini in file previews in Drive;
• speech translation in Google Meet;
• image generation in Docs, Slides and Vids;
• automatic translations in Google Chat.

The list for Polish does not, however, include the “Help me write” feature built directly into the compose window, automatic email thread summaries, summaries in Chat or meeting notes (“Zrób notatki”, in English “Take notes for me”). In practice this means a Polish team works with Gemini mainly through the side panel and types prompts there in Polish. This works well, but it requires a short training session, because people look for a button that does not exist in the Polish version.

Google Meet meeting notes and the Polish language

The “Zrób notatki” feature (in English “Take notes for me”) supports eight languages: English, French, German, Italian, Japanese, Korean, Portuguese and Spanish. Polish is still not among them, as confirmed both by the Meet help page and by the combined list of Gemini languages updated on 1 October 2026.

If your meetings are held in Polish, do not build a process around automatic notes. It is more sensible to appoint a person who records the decisions in a Google Doc and then ask Gemini in the side panel to organise them into a task list with deadlines. Meetings with foreign business partners held in English can use automatic notes, as long as the organiser has the right plan and the participants know the feature is switched on.

How Google protects company data in Gemini

Google describes the rules in the AI privacy hub for Workspace. According to that page, an organisation's content is not reviewed by humans or used to train generative models outside the customer's domain without its permission, and interactions with Gemini stay within the organisation. Gemini uses the same safeguards that apply to the other Workspace services.

The same page contains a caveat that matters for companies with data location requirements: the organisation's file sharing and data region settings do not cover data in Gemini Notebook. If your company's contracts with clients specify where data is stored, we switch Gemini Notebook off or limit it to a selected group.

The biggest risk usually lies on the company's side. Gemini sees what the user sees, so a payroll document once shared with “everyone in the domain” becomes easy to find. Before enabling the features, we review shared drives, groups and files shared by link. This is usually the longest stage of the whole rollout.

Rolling out Gemini in a small business step by step

1. Checking the plan and settings. In the admin console we verify which Gemini services are enabled and for which organisational units.
2. Tidying up permissions. We remove unnecessary sharing and finish the review before enabling AI-assisted search.
3. Usage rules. We write down on a single page what data must not be pasted into prompts and which documents are always checked by a person.
4. A pilot in one department. We choose two recurring tasks, for example replies to typical requests for quotes and a monthly report in Sheets, and measure the time before and after.
5. Side panel training. We demonstrate prompts in Polish using the team's own materials.
6. Deciding whether to expand. If checking the result takes longer than doing the task the old way, we drop that use case and look for another one.

Migrating to Google Workspace

Gemini only makes sense once email and documents are already in Workspace. Companies moving from email with a hosting provider or from network drives start with migration. We move mailboxes with their history, calendars and contacts, organise the structure of shared drives and set up the domain so that email does not end up in spam.

Is Gemini included in the price of Google Workspace?

Yes, in Business plans Gemini features are part of the subscription. Business Starter includes Gemini in Gmail and the Gemini app, and Business Standard adds Gemini in Docs, Meet and other services.

Does Gemini work in Polish?

The side panel in Gmail, Docs, Sheets, Slides and Drive works in Polish. Meet meeting notes, automatic email thread summaries and the “Help me write” feature are not available in Polish according to Google's list of 1 October 2026.

Does Google train models on company data?

According to the Google Workspace privacy hub, customer content is not used to train generative models outside the domain without the customer's permission. Responsibility for who in the company can see which files remains with you.

On the Business Standard plan with an annual commitment, it is PLN 630 net per month according to Google's price list. On top of that comes a one-off cost of implementation and migration.
