Zoho is a third option alongside Microsoft 365 and Google Workspace: email, documents, CRM and customer service in one ecosystem. We help you assess whether it fits your company, migrate the data and configure the suite.
What Zoho One and Zoho Workplace are
Based on the vendor's materials (zoho.com). We don't add features the vendor doesn't claim.
- According to the vendor, Zoho Workplace is an email and collaboration suite: email, calendar, documents, spreadsheets, presentations, chat, meetings and file storage.
- Zoho Mail supports email on your company's own domain once the domain is verified and MX records are set.
- The vendor provides a tool for moving email, contacts and calendars from Microsoft 365 and Google Workspace, including in stages.
- Zoho One is a suite of more than 45 business apps in one subscription, including CRM, Desk, Projects, Inventory, Mail and WorkDrive.
- On the all-employee plan, the licence covers every employee and administration is centralised.
- The suite has built-in single sign-on, a user directory and multi-factor authentication.
- For the EU region, Zoho runs a data centre in Amsterdam with a secondary one in Dublin.
What we do
This is the part we're responsible for. It isn't taken from the vendor's materials.
- We compare Zoho with Microsoft 365 and Google Workspace against your processes, not a feature list.
- We create the organisation in the EU data region, verify the domain and set up the email records, including SPF, DKIM and DMARC.
- We plan the migration of email, contacts and calendars so the switchover happens in an agreed window.
- We configure users, groups, folder permissions and multi-factor authentication for every account.
- In Zoho One we configure the CRM and helpdesk around your sales and customer service process.
- We connect Zoho with other systems via the API or n8n when data needs to flow further.
- We train the team and leave a short guide for new employees.
Zoho, Microsoft 365 or Google Workspace?
The choice depends on what you already have and what you need beyond email.
- We usually choose Microsoft 365 when the team works in Office apps and Excel files and the company already runs Windows and Active Directory.
- Google Workspace works well for browser-based work and co-editing documents.
- Zoho makes sense when, alongside email, you need CRM, customer service or project management and want them in one suite instead of several separate subscriptions.
- We don't replace accounting and invoicing software built for Polish regulations and KSeF with Zoho apps without a separate analysis.

Net prices for our work. You buy Zoho licences directly from the vendor and you own the account. The scope of the implementation depends on the number of users, mailboxes and apps.

What we won't claim
Vendor and reseller websites are full of promises. We won't make these:
- We are not a Zoho partner. We implement Zoho One and Zoho Workplace without partner status.
- We won't say Zoho is better than Microsoft 365 or Google Workspace for every company.
- We won't promise an email migration with no interruption at all. We agree a switchover window and a rollback plan.
- We won't promise that Zoho's finance apps meet Polish accounting requirements and KSeF.
- We won't quote the vendor's licence prices, because they change independently of us.
Questions about Zoho.
What is the difference between Zoho Workplace and Zoho One?
Zoho Workplace covers email and collaboration. Zoho One includes office apps such as Mail and WorkDrive, plus business apps including CRM, helpdesk and projects. If you only need email and documents, Workplace is usually enough.
Can we move email from Microsoft 365 or Google Workspace?
Yes. The vendor has a tool for migrating email, contacts and calendars, and part of the company can move first. We plan the order, the MX record change and a test before the switchover.
Where is the data stored?
When the organisation is created in the EU region, data is kept in Zoho's data centre in Amsterdam, with a secondary one in Dublin. We choose the region at the start of the implementation.
Will Zoho replace our accounting software?
We don't assume so. In Poland, invoicing and accounting involve KSeF and local regulations, so we usually keep them in your existing system and connect them to Zoho only where needed.
Can you maintain Zoho after implementation?
Yes. We cover account, permission and security administration under ongoing IT support, just as we do for Microsoft 365 or Google Workspace.
