Book an IT review

Company files on your server, with permissions and version history.

Shared folders that sync to computers and phones, editing documents in the browser, and an archive of scanned invoices and contracts. We deploy this on a server that belongs to you, with a backup outside it.

What you get after the review

The problem is rarely a lack of space. It is about order and responsibility.

In most companies we talk to, files are in several places at once: on a network drive, in e-mail attachments, in private cloud accounts and on USB sticks. Nobody knows which version of a quote is current, and when an employee leaves, some documents disappear with their laptop.

A file server alone will not fix this. First we agree who owns each folder, who can read it and who can change it, and how long you keep documents. Only then do we set up the application on that structure, so as not to move the mess to a new place.

File sync is not a backup. A deleted or encrypted file syncs to every device just as fast as a good one. That is why every deployment has a separate backup outside the application server and a restore test.

What we look at when choosing.

  1. 1

Whether editing in the browser is needed

A document editor is a separate component, a separate licence and higher server requirements. If the team works in desktop office applications, sync alone is enough.

  2. 2

    How users will sign in

Signing in with a domain account is often in the paid edition. We ask this at the start, because it changes the cost of the whole deployment.

  3. 3

The number of files and their total size

A hundred thousand small files take longer to move than a few large ones. On that basis we plan the migration and the window in which the team does not change files.

  4. 4

    Who shares files externally

We set links for customers and subcontractors with an expiry date and a password. We agree who can create them and how to check what is shared.

  5. 5

    How long you keep documents

Versions and the recycle bin take up space. We set the retention period with you, not with the application's default settings.

Applications we deploy.

Every description of features, licences and limits comes from the vendor's materials, read on 2 October 2026. For each application we add our assessment of when it fits. We make the final choice after talking about your case.

Seafile Community Edition

A good starting point for most companies

File sync and sharing on the company's own server.

Licence
AGPLv3
Language
interface in Polish
  • Account sync with LDAP and Active Directory, SSO sign-in and an audit log are in the paid Pro edition.

Our assessment: A lightweight file server with clients for computers and phones. The Pro edition only when domain sign-in is needed.

Collabora Online

We deploy it when it fits the case

Editing office documents in the browser, run on your own infrastructure.

Language
Polish translation not confirmed
  • The vendor does not recommend the free CODE development edition for production work. For production it offers a subscription edition.

Our assessment: A document editor is a separate component and a separate licensing decision. We deploy it with a subscription when the company will work in it every day.

ONLYOFFICE Docs Community

We deploy it when it fits the case

Text, spreadsheet and presentation editors for working together in the browser, compatible with .docx, .xlsx and .pptx formats.

Licence
AGPLv3
Language
interface in Polish
  • From version 9.4, the Community edition has no limit of 20 simultaneous connections.
  • Editing in a phone browser, the admin panel and clustering are only in the commercial editions.

Our assessment: The right editor depends on how the company works with documents, so we test it on your files first.

Paperless-ngx

We deploy it when it fits the case

Scanning, indexing and archiving company documents with full-text search.

Licence
GPLv3
Language
interface in Polish
  • The project is developed by the community, without commercial support from a vendor.

Our assessment: First we agree which documents go into the archive and how long you keep them. The tool does not replace records management rules.

When the cloud suite you already have is better.

If the company works in a cloud office suite and is happy with it, we first check whether the problem comes from a lack of rules rather than from the tool. Sorting out permissions in what you already pay for is often cheaper than a new system.

Your own file server makes sense when data has to stay on your infrastructure, when per-account subscriptions get expensive, or when you work with files you don't want to keep with an outside provider. We compare costs using your numbers, including the server, backups and support.

Microsoft 365 and Google Workspace implementations

How we deploy, step by step.

  1. 1

    Map of folders and permissions

We record the current file locations, folder owners and access groups. This is the document the whole migration rests on.

  2. 2

Installation on a server in your company's name

A separate environment for the application, a database, HTTPS and a firewall. We install the document editor separately if it is needed.

  3. 3

    Migration in an agreed window

We move files in batches, check the counts and checksums, and after the migration compare the permissions with the map.

  4. 4

    Clients on computers and phones

We install the sync applications and show the team where the files are and how to share them.

  5. 5

    Backup and restore test

Backup of files, the database and configuration outside the server, a restore test and a report with the time.

The server, domain and vendor licences are in your company's name. We record response time and fix time separately in the contract, and state the restore time after a test. Service terms

Questions before you decide.

Will the files be available outside the office?

Yes, if the server is reachable from the internet over HTTPS or through the company's private network. The choice depends on who works on the files and from where. We decide it before installation.

Can we edit documents together, like in the cloud?

Yes, with a document editor in the browser. It is a separate component with its own licence and requirements, so we test it on your files first.

What about the files already on the network drive?

We move them as part of the migration. The network drive can stay read-only for a transition period, so that nobody works on two copies.

Will the archive of scans replace binders?

It makes searching easier, but it does not change the rules on keeping documents. Your accountants or lawyer set the archiving rules, and we configure the system to match them.

First, a conversation about the process, then the tool.

  1. You tell us about the processOnline, by video call. What takes up time today, which systems hold the data and what you want to achieve.
  2. We tell you whether it's worth itSometimes a change to a spreadsheet or a process is enough. If so, we'll say that instead of proposing a project.
