Book an IT review

The team's projects and tasks, in a system that belongs to you.

Project schedules, task boards and simple lists for teams, deployed on your server. We also show when our Loadframe, built for planning recurring departmental work, is the better fit.

What you get after the review

Tasks are everywhere, so they are nowhere.

Tasks recorded in e-mails, spreadsheets, meeting notes and chat do not add up to one picture. The manager cannot see who is overloaded, and the team learns about a deadline once it has passed.

A project tool helps when it fits the way you work. A company delivering projects for customers needs a schedule and time spent on the project. A department that repeats the same activities every month needs a workload plan and recurring tasks instead. These are two different problems and two different tools.

That is why, before we install anything, we talk about what the team's week looks like today. A tool that requires a change in how people work and gives nothing in return will be abandoned within a month.

What we look at when choosing.

  1. 1

    Projects or recurring work

A schedule with dependencies is needed for projects. In recurring work, recurring deadlines and people's workload matter more.

  2. 2

    Who will use it

A project team will accept a more extensive tool. A department in which nobody is a project manager needs simplicity.

  3. 3

    Working time

If you bill customers by the hour, time tracking has to be in the same tool. Otherwise nobody will keep it up.

  4. 4

    Sign-in and paid features

Domain sign-in and some reporting features are often in paid editions. We check this before choosing.

  5. 5

    Import from spreadsheets

Most teams start from a spreadsheet. We check how to move the current tasks, so you do not start from an empty board.

Applications we deploy.

Every description of features, licences and limits comes from the vendor's materials, read on 2 October 2026. For each application we add our assessment of when it fits. We make the final choice after talking about your case.

OpenProject Community

A good starting point for most companies

Classic, agile and hybrid project management: tasks, Gantt charts, boards and time tracking.

Vikunja

A good starting point for most companies

A task manager with lists, a Kanban board and a Gantt chart.

Licence
AGPLv3

Plane Community Edition

We deploy it when it fits the case

Planning and tracking project work.

Licence
AGPLv3
Language
interface in Polish
  • The Community edition has the features of the vendor's free cloud plan, without the features of paid plans.

Our assessment: It suits product and development teams. We check the lack of SSO sign-in in the free edition before deciding.

Leantime

We deploy it when it fits the case

A project system for people who are not professional project managers.

Licence
AGPLv3

  • Some features are available as paid plugins, which may be licensed differently from the core.

Our assessment: An interesting alternative for small teams, but the paid plugins need assessing before deployment.

An open source application or Loadframe?

Loadframe is our own system for planning recurring work and team workload in back-office departments: tasks with standard times, routines based on working days, a load planner that takes leave and holidays into account, and indicators for management. It is at version 1.0, and we are accepting the first pilot implementations.

If you run customer projects with a schedule and dependencies, a project tool from the table below will be the better fit. If a department repeats the same activities every month and you want to see whether the team will finish on time, compare them with Loadframe.

Discover Loadframe

When what you already have a subscription tool is enough.

For a small team, a subscription project tool is usually the quickest start. If project data can be held by an outside provider and the number of accounts is small, there is no reason to set up a server.

Your own installation makes sense when projects involve client data that contracts don't allow you to pass on, or when the number of users makes the subscription a significant cost.

How we deploy, step by step.

  1. 1

    How the team works

A conversation about a typical week, the types of tasks and who needs what information.

  2. 2

    Configuration for the process

Statuses, task types, fields and views set up for the way you work, not the application's defaults.

  3. 3

    Import and the first projects

Moving tasks from spreadsheets and setting up the first projects together with the team.

  4. 4

    Installation and sign-in

A separate environment, HTTPS, accounts and e-mail notifications.

  5. 5

Backup and a review after a month

An off-server backup with a restore test, and after a month a review of what the team uses and what can be simplified.

The server, domain and vendor licences are in your company's name. We record response time and fix time separately in the contract, and state the restore time after a test. Service terms

Questions before you decide.

Can we test the tool before deciding?

Yes. With open source applications we set up a test installation on which the team works for a few weeks on real tasks.

Will you move tasks from another system?

Yes, if the current system lets you export the data. We agree the scope of the migration before quoting, because the history of comments and attachments does not always move across in full.

How is Loadframe different from project applications?

Loadframe plans recurring work and the workload of back-office teams, with standard times and routines. The applications in the table run projects with a schedule and dependencies.

Will the tool work on a phone?

Most applications in the table work in a phone browser, and some have mobile apps. We check this for the chosen tool on the team's devices.

First, a conversation about the process, then the tool.

  1. You tell us about the processOnline, by video call. What takes up time today, which systems hold the data and what you want to achieve.
  2. We tell you whether it's worth itSometimes a change to a spreadsheet or a process is enough. If so, we'll say that instead of proposing a project.
  3. You get the next stepBy email after the meeting: what to map, what data to prepare and what the price depends on.
